How it works

What's included

  • Portal list
  • Match rules
  • Fit ranking + digest

Set it up yourself

Follow these 4 steps in order. You will need accounts for: OpenCrawl.

Step 1: List tender portals

  1. Add the portals you want tracked (your country/region's tender sites, plus corporate RFP pages).
  2. Note each portal's listing format (they differ).
  3. Test the crawl extracts tender titles + dates + links.
  4. Put the list in a sheet.
  5. Add new portals as you discover them.

Watch out: Your country's official tender portal plus 2-3 niche ones beats volume — every unreachable portal is a silent gap.

Step 2: Define your keywords

  1. Write your service keywords (e.g. 'marketing automation', 'AI', 'data migration').
  2. Add region/location terms if geography matters.
  3. Add buyer type terms (government, education, healthcare) if you niche.
  4. Store as the match list.
  5. Test on recent tenders to see what matches.

Watch out: Keywords too narrow = missed deals; too broad = matched everything. Iterate a few times this week before leaving it.

Step 3: Add the ranking prompt

  1. Build: 'Score these tenders 0-100 for fit: keywords match, region, estimated value, our ability to deliver by deadline. Return JSON: {ranked list with score, reasons}.'
  2. Add a 'respond by' line per tender.
  3. Paste with API key.
  4. Test the ranking on real tenders.
  5. Verify the deadline math.

Watch out: The score must factor the deadline — a perfect-fit tender that closes in 3 days is low priority if you can't respond in 3 days.

Step 4: Schedule the digest

  1. Daily schedule (e.g. 8am) to scan and rank.
  2. Email the digest: top matches with links, score, deadline.
  3. Flag any tender closing within 7 days.
  4. Keep a responded-to log so you don't re-flag.
  5. Review match quality monthly.

Watch out: The 7-day-flag plus a privy list filters the digest to 'act or ignore' — that's what makes it a worklist rather than a newsfeed.
