Content Pipeline Tracker
Ideas to drafts to published — a Notion board that moves cards when you do.
Saves about ~2 hrs per week
What it does
- Gives you a ready-made Notion board for idea → draft → published
- Moves a card's status automatically when the linked doc changes
- Pings you when something's sat in Draft for too long
- Rolls up a weekly summary of what shipped
How it works
- New idea added to the board
- Card links to a draft doc
- Status syncs as the doc moves through review
- Weekly review summary posted automatically
What's included
- Notion template
- Status automation
- Weekly review summary
Set it up yourself
Follow these 4 steps in order. You will need accounts for: Notion.
Step 1: Duplicate the template
- Open the guide's Notion template link (it is a public duplicate link on the page).
- Click Duplicate, pick your workspace, and note the resulting page's URL.
- The board has four statuses: Idea, Drafting, In Review, Published.
- Set your properties: Status (select), Type (post/newsletter/video), Published URL, Last Moved.
- No code needed yet — just get comfortable with the board.
Watch out: Do not rename the Status property — the automation reads it by exact name.
Step 2: Connect your draft tool
- Decide the draft source: Google Docs or Notion pages.
- Create an internal Notion integration at https://www.notion.so/my-integrations (name it content-sync, give it read/write).
- Copy the integration's internal token.
- In Notion, open the board page → ⋯ → Connections → add your content-sync integration.
- Test: via a tool like Postman or n8n, list your pages to confirm the integration can read them.
Watch out: The integration must be added to the page (Connections) or it returns 404 — the most common setup error.
Step 3: Turn on status sync
- Choose the sync method: n8n (Schedule node → Notion 'Query Database' + 'Update Page') is easiest on the free tier.
- Add the schedule to run every 15-30 minutes.
- Query pages whose linked doc was edited since the card's Last Moved.
- Update the Status accordingly (Drafting if the doc changed, or flip to In Review when the doc's review field is set).
- Test by editing a draft doc and confirming the board status moves.
Watch out: Store 'Last Moved' in a property — otherwise the sync re-triggers every run and flips statuses forever.
Step 4: Set your weekly summary day
- Add a second scheduled run (e.g. Friday 5pm) that queries published and draft counts.
- Build a summary message: shipped this week, stuck in Draft 7+ days, idea queue size.
- Post it to your content Slack channel or email.
- Use the 'stuck in Draft' list as your Sunday planning input.
- Adjust the cadence after two weeks of use.
Watch out: The stuck-in-draft flag is the part that saves time — without it the board is just a pretty list.
