Deal-Stage Stuck Nudger

Deals that sit in a stage too long nudge the owner — nobody drops the ball silently.

Saves about ~1 hr per week

What it does

  • Tracks how long each deal has sat in its current stage
  • Nudges the owner on Slack when a threshold is hit
  • Escalates to the channel if it sits past the second threshold
  • Logs staged-agings so you can fix slow stages, not just slow deals

How it works

  1. Pipeline data pulled daily
  2. Days-in-stage computed per deal
  3. Owners nudged at threshold 1
  4. Channel escalation at threshold 2

What's included

  • Threshold rules
  • Aging calculator
  • Slack nudge + escalation

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Slack.

Step 1: Define stage thresholds

  1. For each pipeline stage write the max healthy days (e.g. Initial call 5, Proposal 10, Negotiation 7).
  2. Add threshold2 = threshold1 * 2 for escalation.
  3. Create a sheet 'Deal Aging' with columns: Deal, Stage, Days in Stage, Owner, Last Action.
  4. Confirm the pipeline source provides stage-entry timestamps — without them, days-in-stage can't be computed.

Watch out: If your CRM gives only 'updated date', days-in-stage is approximate — flag it as such in the nudge message.

Step 2: Build the aging calculator

  1. Pull pipeline rows into the workflow daily.
  2. Compute days in stage from stage-entry timestamp.
  3. Compare against the threshold table.
  4. Emit two lists: nudges (owner, deal, days) and escalations (channel, deal, days).
  5. Test against the current pipeline to sanity-check the math.

Watch out: The calculator must handle stage changes within the run window — recompute after a stage update, don't accumulate.

Step 3: Send the nudges

  1. In Slack create the channel mapping: private per-owner DM via bot token, or a #deals channel.
  2. For each nudge: post a DM to the owner: '@{owner} {deal} has been in {stage} for {days} days — what's the next action?'
  3. For escalations: post to #deals with the deal and days.
  4. Add rate limiting: one nudge per deal per day max.
  5. Test with a manually aged fake deal.

Watch out: Rate limit is essential — a busy pipeline that re-nudges every hour becomes noise and gets muted.

Step 4: Add the stage-health report

  1. Weekly: aggregate days-in-stage by stage.
  2. Flag stages where median days exceed threshold — the stage process is broken, not your team.
  3. Post this report on Fridays to #deals.
  4. Review quarterly to adjust thresholds as your sales cycle evolves.

Watch out: The stage-level view is the real prize — a stuck stage fires the same deal repeatedly, and only the aggregate view reveals it.
