Appointment No-Show Reducer

Automatic day-before and hour-before reminders that cut no-shows by up to 40%.

Saves about ~1 hr per week

What it does

  • Sends a day-before reminder for every booked appointment
  • Sends a second reminder an hour before the meeting
  • Includes the calendar link and reschedule option in each message
  • Lets you add a personal line so it never feels automated

How it works

  1. Someone books a slot on Calendly
  2. Day-before reminder fires automatically
  3. Hour-before reminder fires as backup
  4. Link and reschedule button included in both

What's included

  • Calendly connection
  • 2-step reminder sequence
  • Message template

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Calendly.

Step 1: Connect Calendly

  1. Log in to Calendly, go to https://calendly.com/integrations/api and generate a Personal Access Token with read/user scheduling scope.
  2. Copy the token.
  3. Open your automation (n8n Calendly Trigger node, or Zapier 'New Event Created' for Calendly).
  4. Connect the trigger with your token and select the event type(s) that should trigger reminders.
  5. Confirm you can see a test booking event come through.

Watch out: Use your personal token (not Organization) if reminders should only cover your own event types.

Step 2: Set the reminder schedule

  1. In the automation add two delay/branch paths from the booking event.
  2. Path A: delay until 24 hours before start_time, then send message A.
  3. Path B: delay until 60 minutes before start_time, then send message B.
  4. Cancel both paths if the event is canceled or rescheduled — most platforms have an 'event canceled' trigger; connect it to a terminate node.
  5. Test with an event 2 days out so both paths fire while you watch.

Watch out: If you skip the cancel trigger, your prospects still get reminders for canceled meetings — test cancel too.

Step 3: Write your message

  1. Write copy that includes: the confirmed time, the meeting link/calendar, and a one-tap reschedule option.
  2. Add your name and one personal line so it reads human.
  3. Keep both messages under 3 sentences — reminders that beg forgiveness for length get ignored.
  4. Set the sender to your own email/number.
  5. Save.

Watch out: Include the reschedule link — a prospect who cannot attend will reschedule instead of ghosting.

Step 4: Activate and test

  1. Book a test appointment for tomorrow at the same time.
  2. Confirm message A arrives the day before.
  3. Book a second test for an hour out and confirm message B fires.
  4. Cancel one test and confirm no reminders go out.
  5. Delete test bookings afterward.

Watch out: Watch the first real week's no-show rate vs baseline — the 40% claim only holds when reminders actually reach people, so also check one landed in spam.
