Client Billing Status Tracker

Every client's billing status on one Slack board — who paid, who's overdue, who's next.

Saves about ~1 hr per week

What it does

  • Synchronizes client billing status from Stripe
  • Posts a weekly board: paid, overdue, upcoming
  • Flags overdue clients for a personal nudge
  • Tracks recovery so you see churn early

How it works

  1. Stripe data pulled on schedule
  2. Client statuses computed and categorized
  3. Weekly board posted to Slack
  4. Overdue clients flagged with context

What's included

  • Stripe sync
  • Status rules
  • Weekly Slack board

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Stripe, Slack.

Step 1: Connect Stripe

  1. Create a restricted Stripe key with invoice:read and customer:read.
  2. Store it securely in the workflow.
  3. Pull all subscriptions/invoices for your active clients.
  4. Map client email → client name if needed (a mapping sheet).
  5. Test the pull.

Watch out: To label clients by name (not email), keep a small mapping — posting 'overdue: jane@…' is less actionable than 'overdue: Jane (Acme)'.

Step 2: Define status rules

  1. Paid = latest invoice paid / subscription active.
  2. Overdue = any invoice unpaid > due date (7+ days is a good trigger).
  3. Upcoming = renewal/invoice within 10 days.
  4. At-risk = overdue > 30 days or 2 missed charges.
  5. Test the classification on real data.

Watch out: Use 'days past due + attempts' for the at-risk bucket — a single late payment is common; a 30-day silent gap is the churn signal.

Step 3: Create the Slack board

  1. Set up a #billing channel and incoming webhook.
  2. Weekly (e.g. Monday 9am) post the board: Paid count, Overdue list, Upcoming list, At-risk list.
  3. For each overdue client, add the amount, days, and their invoice link.
  4. Keep the board scannable; attach details in thread.
  5. Test the format.

Watch out: Attach-thread details keep the board scannable — a wall of 40 invoices in one message gets skimmed and ignored.

Step 4: Schedule the post

  1. Schedule the flow weekly Monday 9am.
  2. Add a daily quiet check that only posts if something new is overdue.
  3. Track recovery in a monthly rollup: recovered this month, still overdue.
  4. Use the rollup to spot churn trends.
  5. Review thresholds quarterly.

Watch out: The daily quiet check catches mid-week slips without turning the board into spam — post the full board weekly, ping only on changes.
