Stripe Invoice Reminders

Overdue Stripe invoices get automatic, escalating reminder emails — with a pay link.

Saves about ~1 hr per week

What it does

  • Watches Stripe for unpaid invoices
  • Sends a reminder at day 3, 7, and 14 overdue
  • Includes the secure payment link in every email
  • Stops automatically once the invoice is paid

How it works

  1. Stripe invoice marked unpaid
  2. Day-3 reminder fires with the pay link
  3. Day-7 and day-14 follow-ups escalate
  4. Payment received stops the sequence

What's included

  • Stripe connection
  • 3-step reminder cadence
  • Pay-link templates

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Stripe, Gmail.

Step 1: Connect Stripe

  1. In Stripe Dashboard → Developers → API keys, create a restricted key.
  2. Enable the invoice:read scope (and customer:read for email lookup).
  3. Copy the key — it starts with rk_live_.
  4. Store it whenever the workflow holds it as a secret variable.
  5. Test the read returns your open invoices.

Watch out: Only grant read scopes — the workflow never needs write access for reminders, and least-privilege keys are the safe habit.

Step 2: Set the cadence

  1. Add a daily schedule to the workflow.
  2. Compute days overdue per invoice from its created/due date.
  3. Fire Email 1 at day 3, Email 2 at day 7, Email 3 at day 14.
  4. Track last-sent count per invoice in a sheet or key-value store.
  5. Test with a test-mode invoice at several ages.

Watch out: Stripe counts days from the invoice due date — if you set payment terms, use due_date, not created date.

Step 3: Write the templates

  1. Email 1: 'Invoice {n} is due' with the hosted payment link.
  2. Email 2: 'Invoice {n} is overdue' — firmer, still helpful, one line on how to pay.
  3. Email 3: 'Invoice {n} — please settle' with a link to Stripe's hosted invoice to update a card.
  4. Each < 70 words and mobile-friendly.
  5. Include the hosted_invoice_url from the API in each.

Watch out: Use Stripe's hosted_invoice_url in every email — the pay link is what converts reminder → payment.

Step 4: Add the stop rule

  1. Before each send, check status: if the invoice is now paid/voided, skip.
  2. After payment, update the tracking so no more reminders go out.
  3. Also skip any invoice that already had a reminder this week (idempotency).
  4. Test: mark a test invoice paid, confirm no further emails.
  5. Review the recovery rate monthly.

Watch out: The paid-status recheck every run is what stops late emails after settlement — never assume a run's earlier state.
