- Due list + approval
- Payment scheduling
Set it up yourself
Follow these 4 steps in order. You will need accounts for: Stripe, Gmail.
Step 1: Track vendor invoices
- Create a 'Vendor Bills' sheet: Vendor, Invoice #, Amount, Due Date, Payment Method, Status.
- Populate it from your invoice extractor or manually.
- Add payment terms (net 30 etc.) to compute due dates.
- Test the due-date math.
- Keep it the single source for vendor payables.
Watch out: The due-date computation from terms (invoice date + net 30) is what keeps the schedule accurate — hardcoded dates go stale.
Step 2: Build the due-this-week list
- Weekly: query the sheet for invoices due in the next 7 days.
- Sort by due date and urgency.
- Flag anything past-due with days.
- Send the list to you for approval.
- Test the query.
Watch out: Include past-due invoices in the same list — a vendor on net-30 who's actually 40 days out needs attention this week, not next cycle.
Step 3: Schedule the payments
- When you approve a bill, the flow creates the payment (Stripe Transfers / Bill.com / your bank's API).
- Always require your approval step — never auto-pay from the tracker alone.
- Set the payment date = due date (or your chosen day).
- Log the payment with amount + date + method.
- Test the payment creation in sandbox first.
Watch out: Human approval on every payment is the non-negotiable — the automation assembles and executes only what a person confirmed against the cash forecast.
Step 4: Review and flag
- Weekly summary: paid this week, scheduled, outstanding, anomalies (duplicates, amount spikes).
- Post to your finance channel/email.
- Cross-check against the cash-flow forecast.
- Monthly: reconcile the payment log with bank.
- Audit vendor list quarterly.
Watch out: The anomaly check (dupe invoice numbers, >30% amount jumps) is where fraud and mistakes surface — review it every week.
