Budget vs Actual Digest

Your budget vs real spend, compared weekly in one Slack line per category.

Saves about ~30 min per week

What it does

  • Reads your budget sheet and live spend
  • Computes spent vs budgeted per category
  • Flags categories over budget
  • Posts a weekly digest to Slack

How it works

  1. Budget and spend data combined
  2. Per-category variances computed
  3. Over-budget categories flagged
  4. Weekly digest posted

What's included

  • Budget sheet
  • Variance compute
  • Weekly Slack digest

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Sheets, Slack.

Step 1: Set up the budget sheet

  1. Create a 'Budget' sheet: Category, Monthly Budget, YTD Budget.
  2. Add a 'Actual' tab fed by your expense logger or manual entry.
  3. Add a 'Variance' computed column (Budget - Actual).
  4. Test the math.
  5. Update budgets quarterly.

Watch out: The budget sheet is the control — if Actual is hand-maintained, treat the digest as approximate; if fed by the expense logger, it's real.

Step 2: Build the variance compute

  1. Weekly: pull actual spend per category (from the ledger tab).
  2. Compare to the monthly budget pro-rated to week of month.
  3. Compute % over/under per category.
  4. Store a rolling variance history.
  5. Test with known numbers.

Watch out: Pro-rate the budget to the week — comparing full-month budget against two weeks of actuals falsely flags everything as under budget.

Step 3: Add the Slack digest

  1. Connect #finance Slack channel + webhook.
  2. Weekly digest: 'Under: X, Over: Y. Over-budget: Category (123% of pro-rated).'
  3. Flag categories > 110%.
  4. Limit to 8 lines.
  5. Test the output.

Watch out: Eight lines max keeps the digest consumable — a budget report is read in seconds or not at all.

Step 4: Review and adjust

  1. Weekly review the digest at your finance check.
  2. Adjust budgets/category rules quarterly.
  3. Track 'over-budget weeks' per category to spot trends.
  4. Feed the variance into your tax planning.
  5. Act on the flags (cut or re-justify).

Watch out: The digest without a review slot is a number on a screen — tie it to your weekly finance check so the flags turn into decisions.
