Calendar Focus-Time Auto-Blocker

Your calendar automatically blocks deep-work hours based on your energy schedule.

Saves about ~1 hr per week

What it does

  • Blocks your chosen deep-work window daily
  • Adjusts around meetings automatically
  • Protects the block from being rescheduled over
  • Tracks how much focus time you actually kept

How it works

  1. Focus rules configured
  2. Blocks placed daily
  3. Meetings pack around the block
  4. Focus time totaled weekly

What's included

  • Focus rules
  • Calendar connection
  • Protection + tracking

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Calendly.

Step 1: Set your focus window

  1. Decide your deep-work windows (e.g. 9-11am, 2-4pm) and which days.
  2. Put the rules in a sheet the flow reads (Day, Start, End, Title='Focus').
  3. Decide meetings are moved around the blocks, never inside.
  4. Test the rules load.
  5. Review your energy pattern honestly — morning vs afternoon differs per person.

Watch out: Pick your real peak hours, not the aspirational ones — a '9am focus' block that you always skip for email is a block that makes you feel late all day.

Step 2: Add the calendar app

  1. Enable the calendar API (Google Calendar API with OAuth, or Outlook graph).
  2. In the workflow, add the 'Create Event' step with OAuth set up.
  3. Authorize and confirm it can read + write events.
  4. Test creating a test event.
  5. Use a distinct event title/description for focus blocks.

Watch out: The distinct marker (e.g. 'Focus — do not disturb') is what lets the flow identify its own blocks next run.

Step 3: Configure the protection

  1. Set the events to 'busy' visibility.
  2. In the flow, when a meeting invite lands inside a focus block: attempt to preview-conflict in your scheduling setting (decline/redirect depends on your tool).
  3. For calendar-sharing tools (Calendly), ensure your availability excludes focus blocks automatically.
  4. Test booking a meeting into a focus slot — it should be unavailable.
  5. Keep the protection soft (decline, not silently drop).

Watch out: The Calendly-availability sync is where this actually wins — if your schedulable hours still show focus time, the block is cosmetic.

Step 4: Track the win

  1. Weekly: sum the marked focus events that actually existed vs planned.
  2. Log 'met focus' (event present and not deleted) in a sheet.
  3. Compare focus time kept vs meetings that invaded.
  4. Review the metric monthly.
  5. Adjust blocks up or down with the data.

Watch out: The metric (kept vs invaded) is what tells you the block is working — without it, focus-blocking is a calendar backfill you'll quietly abandon.
