Time-Off & Coverage Notifier

When someone books time off, the team knows who's out and who covers what.

Saves about ~30 min per week

What it does

  • Tracks time-off bookings from your calendar
  • Posts an 'out today' notice to Slack each morning
  • Lists the designated cover per role
  • Summarizes upcoming absences weekly

How it works

  1. Time-off booked
  2. Morning notice posted
  3. Cover mapped from your rules
  4. Weekly absence summary sent

What's included

  • Calendar sync
  • Cover mapping
  • Morning + weekly posts

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Slack, Calendly.

Step 1: Connect the calendar

  1. Create a shared 'Time Off' calendar everyone uses for absences.
  2. Enable the calendar API + connect it to the workflow.
  3. Test reading events with titles like 'OOO' (out of office).
  4. Ensure the convention is consistent (title or a tag).
  5. Store the calendar ID.

Watch out: The convention matters — if some use 'PTO', some 'OOO', and some 'Holiday', define one and document it, or the notifier misses half.

Step 2: Add the cover map

  1. Create the cover mapping: role → default backup person.
  2. Put it in a sheet: Person, Role, Backup.
  3. For critical roles list two backups.
  4. Test the mapping reads.
  5. Update when people leave/join.

Watch out: The backup map is the actual protection — the morning notice says who's out; the map says who covers them, and that's the part that prevents dropped balls.

Step 3: Set the morning post

  1. Daily schedule (e.g. 9am) checking the Time Off calendar for today.
  2. Post to Slack: who's out today + their cover.
  3. Keep it one line per person.
  4. Skip when nobody's out.
  5. Test with a booked absence.

Watch out: Skip-when-empty is what stops the channel from training people to ignore the notifier — an empty daily noise message is why notification channels die.

Step 4: Add the weekly summary

  1. Weekly (Monday): all upcoming absences this week + cover.
  2. Highlight any day with 2+ people out.
  3. Post or email the summary.
  4. Review coverage gaps.
  5. Adjust the cover map quarterly.

Watch out: The 2+-out flag is the calendar risk check — automation can't approve leave, but it can make the collision obvious before the week starts.
