Document Upload Organizer

Files dropped in the inbox get renamed, tagged, and filed — no more 'final_v2'.

Saves about ~1 hr per week

What it does

  • Watches a Drive folder or email inbox for uploads
  • Reads the file and names it from its content
  • Tags and files it into the right folder
  • Logs everything so you can find any file

How it works

  1. File uploaded or emailed
  2. Content read and named
  3. Filed into the right folder
  4. Index logged to the sheet

What's included

  • Watch setup
  • Auto-naming
  • Folder rules + index

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Drive, Sheets.

Step 1: Set the watch folder

  1. Create an 'Inbox' Drive folder where files land (uploads, email attachments).
  2. Add a Gmail label + forwarding for email-attachment paths.
  3. Connect the folder as the workflow trigger.
  4. Test dropping a file triggers the flow.
  5. Keep it folder-scoped — don't watch the whole Drive.

Watch out: Scope the trigger to the inbox folder only — watching a whole drive means every internal edit re-runs the organizer.

Step 2: Add the naming prompt

  1. Build: 'Read this file's content. Return JSON: {cleanName, folder, tags[]}. CleanName like Vendor_Date_Type (e.g. Acme_2026-10-01_Contract.pdf). Folder from this allowed list: {list}.'
  2. Allowed-folder list prevents invented folders.
  3. Paste with API key (vision for images/PDFs).
  4. Test on a few file types.
  5. Check names are sensible.

Watch out: The allowed-folder list is what keeps the file tree sane — free-form naming from the model invents folders every week.

Step 3: Define folder rules

  1. Create the target folders (Invoices, Contracts, Marketing, Other).
  2. Map file types → folders with override rules (e.g. PDF with 'contract' in content → Contracts).
  3. Test the routing on mixed files.
  4. Refine the rules monthly.
  5. Keep 'Other' honest.

Watch out: The override rules beat pure AI routing on your repeat documents — 'invoice' in a filename or content is a rule, not a guess.

Step 4: Add the index

  1. Log each moved file: original name, new name, folder, date, link.
  2. Keep the index in a sheet as your search surface.
  3. Test searching the sheet finds a file.
  4. Never delete originals in the first week (soft-log instead).
  5. Review the index quarterly.

Watch out: The index is the safety net — if the AI misfiles something, the log shows both names so you can find and fix it.
