PDF Text Extractor → Sheets

PDFs in a folder become structured rows in a sheet — statements, receipts, reports.

Saves about ~1 hr per week

What it does

  • Reads PDFs from your watch folder or email
  • Extracts the fields you care about
  • Appends clean rows to a sheet
  • Flags files it couldn't read cleanly

How it works

  1. PDF lands in the folder
  2. Text extracted from the file
  3. Key fields structured
  4. Rows appended to the sheet

What's included

  • PDF parsing
  • Field extraction
  • Sheet mapping

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Gmail, Sheets.

Step 1: Set the watch folder

  1. Create the watch folder/email label for PDFs you want parsed.
  2. Connect it as the trigger.
  3. Test a PDF lands in the flow.
  4. Keep file names with dates if you can (helps dedupe).
  5. Scope by a label (e.g. 'invoices-parse').

Watch out: Use a dedicated label/folder — parsing everything under 'documents' means double-bookkeeping errors.

Step 2: Define the fields

  1. List the columns you need per file type (statement: date, amount, type; contract: parties, dates).
  2. Write the field definitions clearly.
  3. Store type→fields mapping in the flow.
  4. Test one PDF of each type.
  5. Review extracted accuracy.

Watch out: Field definitions are the contract with the AI — a vague 'amount' column on a statement with multiple numbers returns the wrong figure reliably.

Step 3: Add the extraction prompt

  1. Build: 'Extract from this PDF: JSON matching these fields: {fields}. If a value is absent, use null, never guess.'
  2. 'Never guess' prevents fabrication.
  3. Paste with API key (vision for scanned PDFs).
  4. Test on a scan and a text PDF.
  5. Compare against known values.

Watch out: Scanned PDFs need vision — a text-extraction prompt silently returns nothing on image scans. Test both before trusting.

Step 4: Add the error flag

  1. Detect blank/aberrant extractions (missing required fields).
  2. Route those rows to an 'Unreadable' review tab.
  3. Notify you when the unreadable count spikes.
  4. Test with a deliberately bad PDF.
  5. Review the unreadable tab weekly.

Watch out: The unreadable tab is your quality barometer — a rising count means new PDF types are hitting the flow that the prompt can't read.
