Set it up yourself
Follow these 4 steps in order. You will need accounts for: Notion, Claude.
Step 1: Connect calendar and tasks
- Enable the calendar API (Google/Outlook) and read today's events.
- Connect your task list (Notion task DB or todo tool) with due dates + priorities.
- Pull both into the workflow each morning.
- Test the data arrives.
- Exclude private events from the plan if you want.
Watch out: The plan is only as good as the task list's accuracy — starting this without a maintained task list produces a plan that's just the calendar, and it dies a quiet death.
Step 2: Add the planner prompt
- Build: 'Build today's plan. Reorder tasks by priority + due date. Fit tasks into the open time between meetings and focus blocks. Output: the plan with time slots, top 3 priorities listed first, and anything that won't fit flagged as roll-over. Keep it under 120 words.'
- Instruct: respect focus blocks as protected.
- Paste with API key.
- Test on a real busy day.
- Tune for realism.
Watch out: Roll-over flags are the honesty feature — a plan that time-boxes 9 hours of work into 5 available hours is fantasy; flagging what won't fit makes the plan honest.
Step 3: Deliver the plan
- Schedule for 8am.
- Deliver to your chosen surface (Slack DM, email, Notion page).
- Make it one compact block, not an essay.
- Test one day's delivery.
- Adjust the time if your mornings shift.
Watch out: Delivery at 8am means the plan is ready before you sit down — a plan that arrives at 11am is already obsolete for mornings.
Step 4: Review and refine
- At day's end you (optionally) mark what got done.
- Weekly: review carry-over rates.
- If tasks consistently don't fit, the planner is over-committing (or the task list is unrealistic).
- Adjust the fit logic.
- Review monthly.
Watch out: The carry-over rate is your planning honesty metric — if you're constantly re-planning the same tasks, the tool is a fantasy generator, and you should shrink the daily task count.
