Task Assignment & Nudge Bot

Tasks get owners automatically, and overdue ones get a gentle nudge on Slack.

Saves about ~2 hrs per week

What it does

  • Assigns new tasks to the right person by type
  • Nudges owners as deadlines approach
  • Escalates overdue tasks to the channel
  • Reports on who's overloaded

How it works

  1. Task created in PM tool
  2. AI assigns the owner
  3. Deadline nudges fire
  4. Overdue tasks escalate

What's included

  • PM tool connection
  • Assignment rules
  • Nudge + escalation

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Slack, Notion.

Step 1: Connect the PM tool

  1. Create the internal integration for your PM tool (Notion internal token or your tool's API).
  2. Give read access to the task database.
  3. Ensure tasks have: Type, Assignee (can be blank), Due Date, Status.
  4. Test a query returns tasks.
  5. Note property names exactly.

Watch out: Property-name consistency (Assignee, Due Date) is what the assignment and nudges read — rename once, then never touch.

Step 2: Set assignment rules

  1. Write the rules: task type → default owner (e.g. 'support' → Jane, 'design' → Sam).
  2. Store the mapping in a sheet.
  3. Test assigning unassigned tasks.
  4. Route ambiguous tasks to a 'team lead' instead of guessing.
  5. Refine weekly.

Watch out: Route ambiguity to a human — an auto-assigned wrong owner is worse than an unassigned task, because unassigned tasks get seen.

Step 3: Add the nudge schedule

  1. Daily scan: tasks due in 24h → nudge owner (DM).
  2. Due today → nudge again at noon.
  3. Include the task link in each nudge.
  4. Test the nudges with fake due dates.
  5. Keep nudges to 1-2 per task per day.

Watch out: Nudge in DM (not the channel) until overdue — channel pings for every due task become white noise fast.

Step 4: Add escalation

  1. Overdue > 48h → post to the team channel mentioning the owner.
  2. Overdue > 7 days → flag to the lead channel.
  3. Weekly overload report: tasks per owner, overdue count.
  4. Test the escalation paths.
  5. Use the overload report for reprioritization.

Watch out: The escalation ladder (DM → channel → lead) matches how humans actually escalate — skipping a level makes the channel feel naggy.
