Invoice Data Extractor
Every invoice PDF becomes a clean row in your books — no manual data entry.
Saves about ~2 hrs per week
What it does
- Reads invoice PDFs from email or a folder
- Extracts number, date, amount, and vendor
- Converts each invoice into a ledger-ready row
- Flags duplicates and mismatches for review
How it works
- Invoice PDF lands in the watch folder
- AI extracts the key fields
- Row written to the ledger sheet
- Duplicates and anomalies flagged
What's included
- PDF parsing
- Field extraction
- Ledger mapping
Set it up yourself
Follow these 4 steps in order. You will need accounts for: Gmail, Sheets.
Step 1: Set the watch folder
- Create the 'Invoices Inbox' Drive folder and/or Gmail label for incoming supplier invoices.
- Configure a filter for common invoice senders ('Sales invoice', 'your invoice from…').
- Wire the workflow to the folder/label trigger.
- Make sure it ignores internal documents (only watch correctly labeled mail/folder).
- Test with a real invoice PDF.
Watch out: A filter tuned to invoice subject-line patterns beats label-everything — fewer false triggers means a cleaner ledger.
Step 2: Add the field prompt
- Build: 'Read this invoice. Return JSON: {invoiceNumber, date, dueDate, vendor, amount, currency, lineItems[]} with the final total as amount.'
- Instruct to prefer the 'total to pay' figure over subtotals.
- Ask for the vendor's registered name, not just the logo text.
- Paste with API key.
- Test on 5 invoices from different vendors.
Watch out: Different vendors layout differently — test a mix (HTML receipt-style, PDF accounting-software style, scanned print) so the extractor doesn't only work on one.
Step 3: Map the ledger columns
- Ledger columns: Date, Vendor, Invoice #, Amount, Currency, Due Date, Status.
- Match the columns to your books' import format.
- Have the workflow append a row per invoice.
- Add a Status column (New / Approved / Paid) you can flip.
- Test the row output.
Watch out: Match the exact column names your accounting tool expects for CSV import — the automation's value is zero if the export still needs manual reformatting.
Step 4: Add the dup check
- Before appending, search the ledger for the same invoice number + vendor.
- If found, flag the new one as 'Possible duplicate' instead of appending silently.
- Also flag amounts wildly out of the normal range for that vendor.
- Log duplicates to a review tab.
- Test with a double-submitted invoice.
Watch out: The dup check protects your books from double-entry — a twice-processed invoice is a payment error waiting to happen.
