Set it up yourself

Follow these 4 steps in order. You will need accounts for: Gmail, Sheets.

Step 1: Get the statement data

  1. Export your card statement CSV from the bank portal (most offer CSV).
  2. If only PDF, use the workflow to read the PDF.
  3. Standardize columns: Date, Merchant, Amount, Category (blank).
  4. Test the export format.
  5. Store the raw export in a sheet first.

Watch out: CSV beats PDF every time for reliability — fetch the CSV export if your bank provides it, and PDF-parse only as fallback.

Step 2: Add the categorization prompt

  1. Build: 'Categorize each transaction into: Software, Travel, Meals, Office, Subscriptions, Personal, Other. Return JSON rows.'
  2. Feed your category list + vendor overrides.
  3. Keep the merchant name in the row.
  4. Paste with API key.
  5. Test on a month of real transactions.

Watch out: Vendor-override rules (Stripe → Software) beat the AI's guesses for your repeat vendors — combine both.

Step 3: Match against the ledger

  1. Compare each categorized charge with existing ledger rows (same date, vendor, amount ± tolerance).
  2. Flag matches as 'matched' and new as 'unmatched'.
  3. Report unmatched as the reconciliation diff.
  4. Test with real data where you know the answer.
  5. Keep unmatched visible, not hidden.

Watch out: The unmatched list IS the reconciliation — a categorizer that silently merges duplicates hides the very errors you're reconciling for.

Step 4: Produce the reconciliation sheet

  1. Output: Date, Merchant, Amount, Category, Ledger Match (yes/no).
  2. Add a summary tab: total by category, unmatched count.
  3. Import into your books.
  4. Review the unmatched monthly.
  5. Archive reconciled months.

Watch out: Review the unmatched each cycle — those are the items that never reconcile on their own, and they're usually the ones you need to see.
