UGC Campaign Scheduler

Collects and schedules user-generated content across your channels on a grid.

Saves about ~1 hr per week

What it does

  • Collects approved user content into one grid
  • Schedules it across platforms with rights labels
  • Rotates pieces so you never repeat too soon
  • Logs usage and posts for rights management

How it works

  1. Approved UGC added to the grid
  2. Scheduler assigns content to open slots
  3. Posts fire with credits/hashtags
  4. Usage log updated

What's included

  • UGC grid
  • Rotation schedule
  • Rights + usage log

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Sheets.

Step 1: Build the UGC grid

  1. Create a sheet 'UGC Grid' with columns: Creator, Platform, File/URL, Text, Usage Date, Rights (approved/expires), Status.
  2. Import the user content you have permission to use (screenshots of comments, submissions, videos).
  3. Confirm you have usage rights recorded for each piece — creator name + date of approval.
  4. Set Status = Approved only where rights are clean.
  5. Add the media file URLs.

Watch out: Rights column is non-negotiable for UGC — publishing a piece without rights is one DMCA away from an account strike.

Step 2: Set the schedule

  1. Define per-platform slots (e.g. Instagram 3x/week, X 2x/week).
  2. Build the scheduler flow that reads the grid and assigns the next unused approved piece to the next slot.
  3. Rotation rule: skip creators used in the last 7 days to avoid repeats.
  4. Fire the post via the platform connection with the credits text.
  5. Test with a week's slots.

Watch out: Rotation keeps a feed from looking like one creator's fan page — the 7-day skip is the minimum guard.

Step 3: Automate the posting

  1. Wire the post action per platform (Instagram via Meta API, X via API).
  2. Include the credits line ('via @creator') in the caption automatically.
  3. Add a fallback: if a slot has no approved piece, skip (never auto-pick unreviewed content).
  4. Mark Status = Posted + date on success.
  5. Test one real post on an account you own.

Watch out: Never auto-pick 'unreviewed' content for a fill slot — an unprompted photo in the feed is embarrassing.

Step 4: Usage log & rights sweeps

  1. Keep the Posted log (slot, piece, platform, date).
  2. Monthly: sweep Rights expirations and remove content past expiry.
  3. Credit check: every post must carry the creator credit — verify on samples.
  4. Quarterly: reach out for renewed permission on your top performers.
  5. Review engagement per creator to double down on winners.

Watch out: Expiry sweeps are the mature part of UGC programs — rights that expire mid-campaign create cleanup churn.
