Meeting Notes & Action-Item Extractor

Call transcripts become structured notes with owners and due dates — automatically.

Saves about ~2 hrs per week

What it does

  • Pulls the transcript from Zoom, Meet, or Fireflies
  • Summarizes the call into decisions and key points
  • Extracts action items with owners in a clear list
  • Posts the recap to email, Notion, or Slack automatically

How it works

  1. Recording transcript generated
  2. AI summarizes the call
  3. Action items extracted with owners
  4. Recap posted to your output channel

What's included

  • Transcript source
  • AI summary prompt
  • Action-item format

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Zoom, Claude.

Step 1: Enable transcripts

  1. In Zoom: Settings → Recording → enable 'Save chat messages' and (for cloud) 'Audio transcript'.
  2. For Google Meet: enable Meet transcription in settings, or use Fireflies which auto-joins your calendars.
  3. For Fireflies: connect your Google/Outlook calendar and let it auto-join meetings.
  4. Confirm transcripts land in one folder/feed the workflow reads.
  5. Test with one real call.

Watch out: Cloud transcript for Zoom requires a paid plan entry point — check your plan; if absent, Fireflies' free tier covers the gap.

Step 2: Add the summary prompt

  1. Build: 'From this transcript produce: 1) 3-sentence summary, 2) Decisions made, 3) Action items as JSON [{action, owner, due}] where due uses the date mentioned or 'unset'. 4) Open questions.'
  2. Instruct: only include items from the transcript — no invented owners.
  3. Ask for the summary in a neutral, factual tone.
  4. Paste with API key into the workflow.
  5. Test on a meeting transcript and check owners/dates.

Watch out: The 'no invented owners' line is critical — a hallucinated owner on an action item is how tasks get dropped anonymously.

Step 3: Choose the output

  1. Decide where the recap lands: email to you, a Notion database, or a Slack channel.
  2. For Notion: create the Action Items database with Status/owner/date properties and connect your integration.
  3. For Slack: post the recap to your channel with the action items listed.
  4. For email: send to yourself (or the attendees via a mailing list).
  5. Test the chosen output with one recap.

Watch out: The output decides whether actions get done — a Notion DB with owners beats an email that gets archived. Pick the channel your team actually checks.

Step 4: Set the trigger

  1. Choose the trigger: new transcript file in the watch folder, Fireflies webhook, or a daily scan of calendar + shared notes.
  2. For Fireflies: enable webhooks on 'lecture processed'.
  3. Activate the flow and let a week of real meetings process.
  4. Check the first week's extractions for accuracy.
  5. Adjust the prompt if owners are frequently missed.

Watch out: A daily scan of past meetings is the reliable fallback — webhooks miss the occasional meeting, a scan catches stragglers.
