Meeting-to-Client-Recap Pipeline

After a client call, a clean recap with decisions and next steps is sent without you typing.

Saves about ~2 hrs per week

What it does

  • Turns each client call transcript into a polished recap
  • Lists decisions and next steps in client-friendly language
  • Sends the recap to the client automatically
  • Logs a copy in your project tool

How it works

  1. Client call transcript ready
  2. AI drafts the client recap
  3. Email sent to the client
  4. Copy logged in the project tool

What's included

  • Transcript hookup
  • Client recap format
  • PM tool logging

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Zoom, Claude.

Step 1: Connect your recorder

  1. Use the same transcript source as Meeting Notes & Action Items (Zoom cloud transcript or Fireflies).
  2. Enable transcripts for external meetings too.
  3. Confirm the transcript contains the client's name/contact where you need routing.
  4. Have the workflow trigger on each new client-call transcript.
  5. Test with one client call.

Watch out: You must be able to tell which transcript is for which client — name the file/calendar event consistently or store the client mapping in the flow.

Step 2: Add the recap prompt

  1. Build: 'Write a client-facing recap of this call. Sections: Summary (2-3 sentences), Decisions made, Next steps (with owner and date), What we need from you. Tone: clear, friendly, professional. No internal jargon.'
  2. Instruct: next steps phrased in client-voice ('we will send…' not 'internal sprint…').
  3. Keep it under 200 words.
  4. Paste with API key.
  5. Test on a sample call transcript.

Watch out: 'No internal jargon' is the differentiator — a recap full of internal shorthand fails its purpose the moment the client forwards it to their team.

Step 3: Set the client routing

  1. Create a mapping: client name/project → contact email (a sheet is fine).
  2. In the workflow, match the transcript to a client and grab the email.
  3. Attach an optional CTA line: 'Reply with any corrections by {tomorrow}'.
  4. Send the recap from your address (not a no-reply).
  5. Test the delivery.

Watch out: Sending from a real address with replies enabled matters — the recap email is often where clients reply with 'also we need…'.

Step 4: Log to your PM tool

  1. After sending, create/update a task or comment in your PM tool (Notion, Asana) with the recap summary.
  2. Link the sending and logging so both happen in one run.
  3. Store a link to the full transcript in the PM record.
  4. Test that logging fires after the email succeeds.
  5. Review the log monthly for accuracy.

Watch out: Log after email success (not before) — a logged recap that never reached the client is a silent miss.
