Form to CRM + Instant Alert

Form submission becomes a CRM record and an SMS/Slack alert — before you finish your coffee.

Saves about ~2 hrs per week

What it does

  • Turns every form submission into a complete CRM record
  • Updates existing contacts instead of duplicating them
  • Fires an instant SMS or Slack alert so you reply fast
  • Sends an auto-reply to the lead confirming you received it

How it works

  1. Form submitted
  2. Webhook creates or updates the CRM record
  3. Alert goes out via SMS or Slack
  4. Auto-reply confirms receipt to the lead

What's included

  • Webhook setup
  • CRM field mapping
  • SMS or Slack alert

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Typeform, HubSpot.

Step 1: Turn on the form webhook

  1. In your form tool, open Settings → Webhooks and create a webhook for new submissions.
  2. Use http://webhook.site to capture the payload and see the field keys you will map.
  3. Note the email field name and the custom answer field names.
  4. Create a private endpoint in your automation platform (n8n webhook node / Zapier webhook trigger / Make webhook).
  5. Point the form webhook at that endpoint.

Watch out: Capture real payload structure first — form tools vary in how they name answers.

Step 2: Map fields to your CRM

  1. In HubSpot (Settings → Integrations → Private apps), create a private app with CRM contacts scope and copy the token.
  2. In the automation, add an HTTP Request node: POST to /crm/v3/objects/contacts with your field mapping.
  3. Map form email → email, form name/answers → firstname/lastname/custom properties.
  4. To update instead of duplicate, set the search by email via /crm/v3/objects/contacts/search first.
  5. Test and confirm the record appears once, and a second submit updates rather than creating a new one.

Watch out: Without the email lookup, every submission creates duplicates — the search-before-create step is mandatory.

Step 3: Add the alert step

  1. For Slack: create an incoming webhook (api.slack.com) to your #sales channel.
  2. For SMS: sign up at Twilio, buy a number, and note your Account SID + Auth Token + the phone.
  3. In the automation, add the Slack (or Twilio) node passing the mapped fields.
  4. Format the message: name, company, size, and the answer to your key question.
  5. Test both timings: alert should land within 30 seconds of submit.

Watch out: Pick one alert channel to start — running both doubles cost and noise for the same urgency.

Step 4: Test end to end

  1. Submit a test entry.
  2. Wait for: CRM record created → alert fired → auto-reply sent to the lead.
  3. Verify order and timing.
  4. Submit the same email again — must update, not duplicate.
  5. Check the auto-reply landed in the lead's inbox (and spam-filter friendly subject).

Watch out: Auto-reply deliverability: keep it under ~150 words, plain text, no attachment links, or it lands in spam.
