Sales & Lead Capture
Renewal & Upgrade Nudges
Sends the right 'time to renew' or 'try the next tier' email at exactly the right moment.
Saves about ~2 hrs per week
What it does
- Watches Stripe subscriptions for upcoming renewals
- Sends a renewal reminder before the charge with a clear 'update card' link
- Detects usage that suggests a bigger plan and nudges the upgrade
- Cadence is silent for healthy subscriptions that renew on autopilot
How it works
- Subscription data pulled from Stripe on schedule
- Renewals within the window get a reminder email
- Upgrade signals trigger an upsell touch
- Healthy subs are left alone
What's included
- Stripe connection
- Renewal reminder template
- Upgrade-signal rules
Set it up yourself
Follow these 4 steps in order. You will need accounts for: Stripe, Gmail.
Step 1: Connect Stripe
- In the Stripe dashboard, go to Developers → API keys.
- Click 'Create restricted key' — enable read access only for subscriptions and customers.
- Copy the key — it starts with rk_live_.
- Store it in the automation as a secret variable.
- Paste it into the Stripe node (n8n Stripe node / Zapier 'Find Subscription' action).
Watch out: Use a restricted read-only key, never your secret key — least privilege for something that runs on a schedule.
Step 2: Set the renewal window
- Decide the reminder window: 7 days before the renewal date is standard.
- In the workflow, query subscriptions where current_period_end is between today and today+7.
- Add a filter to skip trialing and canceled subscriptions.
- Store renewals in a sheet with: customer, amount, renewal date, action taken.
- Test by searching for a subscription with a known upcoming renewal.
Watch out: Stripe returns Unix timestamps — convert to a date before comparing, or your window math breaks.
Step 3: Write both email templates
- Renewal reminder: subject 'your plan renews on {date}', body with the amount, a one-click 'update card' link, and 'need a change? reply here'.
- Upgrade nudge: subject varies, body explains the value of the next tier tied to their real feature usage if available.
- Both under 120 words.
- Load templates into your email tool or the workflow template node.
Watch out: The upgrade nudge must not feel like a regular upsell blast — reference a concrete usage signal or skip it.
Step 4: Add the filter logic
- Add a condition: skip customers whose default payment method succeeded on the last charge (healthy autopay).
- Test the 'update card' link actually opens the Stripe customer portal or subscription update page.
- Schedule the workflow daily (morning) so renewals are prepped a week ahead.
- Run once and review the sheet output before enabling sends.
Watch out: If the portal link is wrong, every reminder creates a support ticket instead of saving one — verify the URL component carefully.
