Sales & Lead Capture

Event Lead Capture

Business cards and signup scans from events become a clean, enriched lead list.

Saves about ~1 hr per week

What it does

  • Collects leads from event signups, scans, or card photos
  • Dedupes against your existing list
  • Enriches missing company/role fields
  • Appends a ranked list ready for follow-up

How it works

  1. Event signup export or scan list lands in a sheet
  2. Rows cleaned and deduped
  3. Missing fields enriched
  4. Follow-up-ready list produced

What's included

  • Import template
  • Dedupe rules
  • Enrichment + follow-up list

Set it up yourself

Follow these 4 steps in order. You will need accounts for: Sheets.

Step 1: Set the event source

  1. Decide how leads arrive: event platform export (Luma/Luma2csv), scan tool (HiHello), or card-photo folder.
  2. Create a sheet 'Event Leads Raw' with a standard import template: Name, Email, Company, Role, Notes.
  3. Standardize the export into that template (most platforms export similar fields).
  4. Test importing one event's data.

Watch out: Standardizing the template is the step that makes every future event 10 minutes instead of an hour.

Step 2: Dedupe against existing

  1. Add a 'Matched Existing?' column.
  2. Load your existing contacts into a second tab and match by normalizing email (lowercase, trim).
  3. Mark matches — they become 'update' rows instead of new leads.
  4. Flag near-matches (same company, same name, different email) for manual review.
  5. Test with a small sample.

Watch out: Email normalization is non-negotiable — 'Name@X.com' vs 'name@x.com' duplicates compound across events.

Step 3: Enrich missing fields

  1. For rows missing company/role, pass email or company name to an enrichment API (same as the lead enrich flow).
  2. Keep the enrichment budget low: enrich only rows missing 2+ fields.
  3. Write results back into the sheet.
  4. Mark failed lookups so you can eyeball them later rather than re-running the API.

Watch out: Free enrichment tiers cap out fast at event volume — only enrich what is missing, not every row.

Step 4: Deliver the follow-up list

  1. Produce a clean tab 'Ready to Follow Up' with a priority column (enriched + matched = warm).
  2. Merge into your main leads/follow-up queue.
  3. Add a 'saw you at {event}' template tag for the first touch.
  4. Log event name + date so you can attribute replies to the event.
  5. Archive raw data after merging.

Watch out: Attribute the event source on every row — without it you cannot tell which event actually produces replies.
