Email Batching Scheduler
Drafts you write at night get queued and sent at the perfect morning hour.
Saves about ~1 hr per week
What it does
- Moves drafts from a working label into a send queue
- Sends them at your chosen time window daily
- Spreads sends so you never blast 10 emails at once
- Logs what was sent and when
How it works
- You leave a draft in a 'Queue' label
- Scheduler collects queued drafts each morning
- Emails send within your window, spaced apart
- Sent log updates the sheet
What's included
- Queue label
- Send-window scheduling
- Sent log sheet
Set it up yourself
Follow these 3 steps in order. You will need accounts for: Gmail.
Step 1: Create the queue label
- In Gmail create a label 'Send Batch' (Settings → Labels → New label).
- Decide your send window — 9:30-11:30 local time is typical.
- Create a sheet 'Batch Log' with columns: Subject, To, Sent At.
- Note the label name must match the script property exactly.
Watch out: Keep this label separate from normal drafts — the script only touches mail under Send Batch.
Step 2: Build the send script
- In Apps Script (Gmail API enabled, OAuth credentials set) paste the guide's batching script.
- Set properties: QUEUE_LABEL='Send Batch', SEND_WINDOW_START='09:30', SEND_INTERVAL_MINUTES=10.
- The script grabs up to N queued drafts, sends the oldest first, spacing each by the interval.
- Save and run once with 2 test drafts in the label.
Watch out: The interval property is what prevents the 'blasted 10 emails' look — keep it default 10 minutes.
Step 3: Set the schedule trigger
- Add a time-based trigger for the send function at your window start most weekdays.
- Add an error-notification trigger.
- Optionally add a daily 5pm digest of tomorrow's queue so you can cancel anything.
- Test by adding a draft labeled Send Batch tonight and checking it sends tomorrow in the window.
Watch out: Timezones: Apps Script uses the script file's timezone (Project Settings → Time zone) — set it before trusting the 9:30 trigger.
